Explain an affiliate payment delay with a verified status, responsible contact and next update, without promising an unconfirmed date.
If an agreed payment date is missed, tell the affected publisher the amount or period involved, the stage confirmed, who is investigating and when the next update will arrive. Give a new payment date only after the team responsible for that step confirms it.
Check the status before explaining the cause
A delay can occur before approval, during funding or after a transfer is sent. Check programme and payment records before attributing it to the publisher or provider.

Make the first message useful
A private update should state the confirmed amount and currency, affected period, agreed date, current verified status, action being taken, responsible contact and next update time. Separate an undisputed amount from one still under review.
If the arrival date is unknown, say so plainly. A general notice can explain a shared incident, but a publisher's balance needs an individual answer.
Use a subject that identifies the affected payment. Put the missed commitment and current status in the first lines. Give the publisher a case reference for a discrepancy. Keep the next update commitment
Choose an update time the owner can meet even if payment timing is uncertain. At that time, report what changed, what remains open and when the next update will come. Record the original commitment, notices, revised dates, owner and resolution against the case.
When settlement is confirmed, tell the publisher which period and amount it covers and how to raise a remaining difference. Review whether the delay started in approval, billing, funding or transfer handling so the same handoff can be corrected before the next run. Clear communication does not replace the payment.
